How To Set Up QuickBooks Workforce?

QuickBooks Workforce is easy for employees and only requires a few steps. Once your employees can use labor services, they can easily verify their payroll and W-2 as needed.

Let us walk through the steps required to enable QuickBooks Workforce and make your version of QuickBooks Desktop Payroll work.

Step 1: Activate QuickBooks Workforce As Administrator

QuickBooks Desktop users can activate the Workforce solution from their account immediately after logging in. You need to check if your desktop version has been updated. If the desktop version is not the latest version, you or your employees may not be able to log in.

You will now access the "Manage Payroll Cloud Service" window from the "Employees" tab. You should see a message that enables QuickBooks Workforce with an on/off switch. Activate Workforce, make sure to save and apply your changes, and then return to the QuickBooks Desktop main screen.

Step 2: Upload Paycheck Data

In order for your employees to actually view their payroll records, you must upload their payroll to QuickBooks Workforce. Uploading salary data is a simple process that can be done in a few simple steps outlined by Intuit on its website. Simply send the invalid paycheck directly to Intuit, make sure to select the appropriate date range for the paycheck history date, and then start uploading and sending the current paycheck for the calendar year using the PIN used for Intuit QuickBooks.

Step 3: Invite Your Employees to QuickBooks Workforce

After activating Workforce from a QuickBooks Desktop account, you can invite representatives to use Workforce from their own account. Navigate to the same "Manage Payroll Cloud Service" window where Workforce was previously activated to invite your employees from the pre-installed list.You can add any number of employees, as long as they have set up their accounts in advance.

Employees can view their salary immediately after setting up an employee account. After activating the account, you will need to log in to the employee account.
